Position Summary

Under the direction of the Head of Operations, the Office Manager is responsible for the overall management of the school office, controlling and coordinating work, data & information flow. Providing general instruction, guidance and supervision to the office staff, the Office Manager must ensure a professional first point of contact for the School and is responsible for the efficient operation of day-to-day activities.

The person required will need to be a committed Christian, possess outstanding presentation and communication skills, strong organisational skills, the ability to multi-task, be team-orientated and be capable of projecting a positive image of the School within the community.

KEY RESPONSIBILITIES

  • Oversight and coordination of day-to-day operations of the School office
  • Provide daily instruction and guidance to office staff
  • Attend to specific enquiries from parents, visitors and students
  • Liaise closely with Leadership team to coordinate correspondence and timely communications to families
  • Coordinate the LCS school calendar
  • Review and develop office systems in conjunction with the Head of Operations
  • Student Information System (TASS) management – ensure integrity of data and reporting for operational use
  • Oversee the coordination of First Aid room and services
  • Ensure resources are available to office staff
  • Ensure office compliance with all relevant policies and procedures required by Independent schools
  • Maintain knowledge and practice of emergency procedures for office
  • Build team culture and efficiency
  • Provide cover for office staff absences
  • Backup phone, counters and first Aid during busy periods
  • Manage the flow of information, seek clarification and provide advice and responses as needed
  • Be involved in the yearly review of office staff
  • Coordinate, investigate and source relevant training for office staff
  • Maintain and update Office Procedure manual
